Approve or request changes

Review an item that is In Review and either Approve it, with an optional approval note, or Request Changes with a summary of what to fix.

When content is In Review, a reviewer decides what happens next: approve it, or request changes. This guide covers both decisions and where to make them.

Who this is for

Owners, Admins, and Managers, who can approve content or request changes. Authors and Editors submit content; the decision is a separate, role-gated step.

Before you start

  • The item is In Review (someone has submitted it).
  • You have read the content and any review comments.

Open the review actions

  1. Open the In Review item in the editor.
  2. Scroll to the item's review actions, where you can request changes or approve based on the current status and your role.

The editor itself is read-only while the item is In Review, so you review the content as submitted.

Approve

To clear the content to move forward:

  1. Optionally add an Approval Note for the internal history.
  2. Choose Approve.

The item becomes Approved, which prepares it for scheduling or publishing.

Important
Approving does not publish. An Approved item still needs to be scheduled or published before anything is committed to your repository. See Schedule content and Publish now.

Request changes

If the content is not ready:

  1. Write a Request Changes Summary describing what needs to change before approval.
  2. Choose Request Changes.

The item moves to Needs Changes and returns to the author, who revises and resubmits. This loops until the item is Approved.

What happens next

Approved content is ready for the publishing step. Items that need work move to Needs Changes and come back into review when resubmitted. Track all of this in the Review Queue.
